Privacy Policy
Actify is built in Kelowna, British Columbia. This policy explains exactly what we collect on this website, why, who we share it with, and how to get your information back or deleted.

The short version
If you only read one section, read this one. The rest of the document says the same things in more detail.
- Browsing this website does not require you to give us your name or email. Analytics and advertising tools still run — see cookies and tracking.
- If you submit a form, we store what you typed, plus your IP address, browser user-agent, and the campaign parameters that brought you here.
- We share that information with a small number of service providers, including Meta, for advertising measurement. Some of them are outside Canada.
- We do not sell your personal information.
- You can ask us for a copy of your data or ask us to delete it. Email privacy@goactify.com and we will respond within 30 days.
1. Who we are
Actify (“Actify”, “we”, “us”) is an employee engagement platform operated from Kelowna, British Columbia, Canada. This policy covers the website at www.goactify.com and the forms on it.
The Actify application at app.goactify.com is a separate product with its own account terms. Where this website hands you off to that application, we say so below.
We are responsible for the personal information under our control. To reach the person accountable for privacy at Actify, email privacy@goactify.com.
2. What we collect
Information you give us
Our forms ask for the following. Fields marked optional can be left blank.
- Full name
- Work email address
- Company name
- Company size (a range, not an exact headcount)
- Role or job title (optional)
- Your confirmation that you agree to be contacted about Actify
If you later exchange emails or calls with us, we may keep notes of that correspondence alongside your record so that whoever picks up the conversation knows what was already discussed.
Information collected automatically
When you submit a form, we also record:
- Your IP address and browser user-agent, used for security, fraud prevention and advertising measurement
- The page you submitted from and the page you first landed on
- The website that referred you, if any
- Campaign parameters in the link you arrived through —
utm_source,utm_medium,utm_campaign,utm_content,utm_term,utm_id - Advertising click identifiers —
fbclid(Meta),gclid(Google),ttclid(TikTok),msclkid(Microsoft) — which let an ad platform match your visit back to the ad you clicked - Meta browser identifiers stored in the
_fbpand_fbccookies, if Meta has set them
We also derive whether your email uses a free provider such as Gmail or Outlook. We use this only to prioritise follow-up, never to reject anyone.
What we do not collect on this website
- We do not ask for payment card numbers, government identifiers, dates of birth, or home addresses.
- We do not knowingly collect information from anyone under 18. This is a business product sold to employers.
- We do not collect employee data through this website. If your company uses the Actify application, employee information is handled under the agreement with your employer, not this policy.
3. Why we use it, and on what basis
Under Canadian privacy law we need your consent to collect, use or disclose personal information, except where the law says otherwise. When you tick the consent box and submit a form, you are giving us express consent for the purposes below.

We will not use your information for a materially different purpose without asking you first.
4. Who we share it with
We do not sell personal information and we do not rent or trade mailing lists. We share information with service providers who process it on our behalf, and only for the purposes above.

We may also disclose personal information where the law requires it — for example in response to a court order or a lawful request from a government authority — or to establish or defend a legal claim. If Actify is involved in a merger, acquisition or sale of assets, personal information may be transferred as part of that transaction, and we will give notice before your information becomes subject to a different policy.
5. Information stored outside Canada
Your lead record is stored in Canada. Several of the providers in the table above operate in the United States, so your information is processed there as well. While it is in another country, it may be accessible to the courts, law enforcement and national security authorities of that country under their laws.
We use providers who commit contractually to protecting personal information to a standard comparable to what Canadian law requires. If you would like to know more about our practices for cross-border handling, email privacy@goactify.com.
6. Cookies and tracking
This site loads Google Tag Manager and the Meta Pixel on every page. They run before you fill in anything, and they set cookies in your browser — Meta sets _fbp and _fbc; Google Analytics sets _ga and related cookies. These are used to measure traffic and advertising.
We also use browser storage of our own:
actify_pilot_ctx— session storage holding the campaign parameters you arrived with, so that if you fill in a form later we can attribute it correctly. Cleared when you close the tab.actify_pilot_exit_shown— session storage remembering that we already showed you a message when you moved to leave, so we do not show it twice.actify_admin— a secure, HTTP-only cookie used only by Actify staff signing in to our internal tools. It is never set for ordinary visitors.
How to opt out. You can block or delete cookies in your browser settings, and most browsers offer a “do not track” or tracker-blocking mode. You can opt out of Google Analytics with Google’s browser add-on, and you can control Meta advertising in your Meta ad preferences. Blocking these tools does not stop you using this website.
7. How long we keep it
- Enquiries that do not become customers — kept for up to 24 months from your last contact with us, then deleted.
- Enquiries that become customers — kept for the life of the business relationship and for up to 7 years afterwards, because Canadian tax and corporate records rules require it.
- Security logs, including records of sign-in attempts to our internal tools — kept for up to 12 months.
When a retention period ends, we delete the record. Note that deleting our copy does not automatically delete copies held by the advertising platforms in section 4 — those have their own retention rules, and we tell you how to reach them in section 6.
8. Your rights
You can ask us to:
- Tell you what we hold about you, and how we have used and disclosed it
- Give you a copy of that information
- Correct it if it is wrong or out of date
- Delete it
- Withdraw your consent to further contact, at any time
Email privacy@goactify.com. We will respond within 30 days. We may need to confirm your identity first, and in limited cases the law allows us to refuse a request — if that happens, we will tell you why.
Withdrawing consent is straightforward: reply “unsubscribe” to any message from us, or use the unsubscribe link. We will stop sending you commercial messages. There may be a short delay while the change works through our systems, and we may still contact you about an active account or a legal obligation.
If you are not satisfied with how we have handled your information, you can complain to the Office of the Privacy Commissioner of Canada or to the Office of the Information and Privacy Commissioner for British Columbia.
9. How we protect it
Our database rejects all access except through a credential held only by our servers. Our internal lead tools sit behind authentication, lock out repeated failed sign-in attempts, and are excluded from search engines. Traffic to this site is encrypted in transit.
No system is perfectly secure, and we cannot guarantee absolute security. If a breach occurs that creates a real risk of significant harm to you, we will notify you and the Privacy Commissioner as Canadian law requires.
10. Changes to this policy
We will update this page when our practices change, and we will move the “last updated” date at the top. If a change materially affects how we use information we already hold about you, we will contact you before it takes effect.
